SUBJECT: REQUEST FOR QUOTATION-PROCUREMENT OF VEHICLE

Center of Concern (CoC) is an Ethiopian non- governmental organization established in 2005 and registered with the government (Charity Registration No.3160). CoC works to empower and support marginalized communities, youth, women, and internally displaced persons (IDPs) across Ethiopia through development human rights & peace building, and humanitarian programs. Our projects focus on providing long-term solutions to problems of poverty, hunger, illiteracy, ill health, injustice, and inequalities and essential lifesaving and rehabilitation support in Ethiopia

To support our program operations and field activities CoC is seeking to procure one SUV Electric vehicle. We invite qualified suppliers to submit their quotations for the vehicle as per the specifications.

Suppliers must include the following:

1. Price in Ethiopian Birr (ETB), inclusive of all taxes and duties
2. Delivery Schedule
3. Warranty Terms (coverage details and duration)
4. After-Sales Support (available services, maintenance support, etc.)
5. Validity Period of quotation (minimum 30 days)
6. Legal Documents:
7. Valid Ethiopian business license
8. VAT registration certificate
9. Authorized Dealership/Distributorship Proof (if applicable)

4. Submission Details

5. Terms and Conditions

• Payment: Full payment will be made upon 100% delivery and acceptance of the vehicle.
• Evaluation Criteria:

• Technical compliance with specifications
• Price competitiveness
• Delivery schedule
• Warranty quality and terms

• Performance Guarantee: Supplier must provide a 5% performance guarantee upon signing the Purchase Order.
• Inspection and Acceptance: Vehicle will be inspected upon delivery, and acceptance will be confirmed within 7 days if all specifications are met.
• Late Delivery: Penalties will apply according to CoC policy and may be deducted from the contract amount.
• Defect Rectification: Any defects identified during inspection must be corrected by the supplier at no additional cost.
• Dispute Resolution: Any dispute arising from this RFQ shall be resolved through arbitration in Addis Ababa in accordance with Ethiopian law.
• Confidentiality & Compliance: Supplier must maintain confidentiality of all RFQ information and comply with all relevant Ethiopian laws.
• Insurance: Supplier must provide all-risk transit insurance until delivery to the designated site.
• Taxes & Duties: All quoted prices must be inclusive of applicable taxes, duties, and charges.
